We are seeking a highly organized and detail-oriented Operations Administrator to support the daily operations of our electrical construction contracting business. This role is crucial in ensuring that administrative and project documentation processes are executed efficiently and accurately. The ideal candidate will be responsible for supporting bidding processes, setting up new projects, maintaining essential logs, and ensuring compliance with documentation and subcontract requirements.
Key Responsibilities:
1. Administrative Support
· Perform a wide range of administrative tasks to support operations and project teams.
· Maintain organized filing systems (both digital and physical) for easy access and auditing.
2. Document Management & Bid Support
· Prepare and organize bid documents, including backup materials, prequalification forms, and bid forms.
· Request and track all required certificates of insurance, bonds, and permits.
· Provide document support for bid invitations and ensure timely delivery.
3. Project Setup
· Open and set up new projects in the company database.
· Generate and distribute job folders, contracts, setup forms, and insurance certificates to accounting and project teams.
4. Log Management & Compliance Monitoring
· Maintain and update detailed project logs, including:
o Submittals
o RFIs (Requests for Information)
o Material orders
o Contract Change Orders (CCOs)
o Proposed Change Orders (PCOs)
o Extra Work Tickets
o Subcontractor compliance
o Insurance, permits, and bond tracking
· Draft subcontracts and ensure subcontractor compliance with documentation requirements.
Skills and Qualifications:
· Organizational Skills: Exceptional organization and time management; capable of handling multiple projects and shifting priorities.
· Technical Proficiency: Proficient with Microsoft Office (especially Excel), and experience working with databases and construction management software.
· Communication: Strong written and verbal communication skills to coordinate with internal teams, subcontractors, and external agencies.
· Attention to Detail: High level of accuracy in data entry, document tracking, and file management.
· Problem Solving: Resourceful in resolving administrative and logistical issues that arise during daily operations.
· Experience: Previous experience in administrative support, preferably in a construction or electrical contracting environment.
Preferred Qualifications:
· Experience with construction management platforms (e.g., Procore, Viewpoint, Sage, or similar).
· Familiarity with contract documentation, compliance tracking, and permit/bond processes.
· Associates or Bachelor’s degree in Business Administration, Construction Management, or a related field (preferred but not required).
